Getting Started

Welcome to MintCondition! Whether you're a Property Manager, Property Owner, Service Provider, or Crew Member, this guide will help you get started based on your role.

📌 Understanding User Roles

A user may have one or multiple roles within a property. Each role comes with specific permissions that determine what a user can see and do.

Property Manager

Managers oversee properties, assign tasks, and coordinate service providers.

  • This is the default role of the user who creates a new property.
  • Full control over the property and its tasks.
  • Manage users: Invite users and assign them roles.
  • Create, assign, edit, and delete tasks.
  • View all service provider and crew activities.
  • Manage invoices for work done on the property.
  • Edit property details, including address, settings, and reservation sync.

💡 First Steps for Property Managers:

  1. Create a New Property from the Properties Page.
  2. Invite Users (owners, service providers, crew members) to the property.
  3. Set Up Synchronization with Airbnb, VRBO, Booking.com or a property management software.
  4. Define Default Task Types (e.g., cleaning, maintenance, inspections).
  5. Assign First Tasks to service providers or crew.

🏠 Property Owner

Owners can see everything related to their property but cannot make changes.

  • View property details, reservations, and tasks.
  • See assigned service providers and their completed work.
  • Access all images, reports, and invoices.
  • Cannot create, modify, or delete tasks.
  • Cannot add/remove users or change property settings.

💡 First Steps for Property Owners:

  1. Accept Invitation from a Property Manager.
  2. Log in to the Dashboard to view property data.
  3. Review Tasks & Reservations to stay informed.
  4. Check Invoices & Payments under the billing section.

🛠 Service Provider

Service Providers are vendors who manage work for properties. They may have a team of crew members under them.

  • Receive tasks assigned by Property Managers.
  • Reassign tasks to their crew members.
  • Edit task details (update notes, status, attach images).
  • Cannot create or delete tasks.
  • Cannot see tasks assigned to other providers.
  • Manage their own crew members by adding or removing them.

💡 First Steps for Service Providers:

  1. Accept Invitation from a Property Manager.
  2. Set Up Crew Members (if applicable).
  3. Check the "Tasks" Section for assigned work.
  4. Complete Tasks by updating status and uploading images.
  5. Manage Invoices for completed work.

👷 Crew Member

Crew members are employees or collaborators of a Service Provider.

  • Only see tasks assigned to them.
  • Can update task status, add notes, and upload images.
  • Cannot delete tasks, images, or notes created by others.
  • Can report property issues using "Flags".
  • Cannot modify property settings, reservations, or invoices.

💡 First Steps for Crew Members:

  1. Accept Invitation from a Service Provider. Crew member will automatically be added to the Service Provider's company.
  2. Check Assigned Tasks in the Dashboard.
  3. Update Task Progress and mark the status as completed.
  4. Upload Photos & Notes for verification.
  5. Flag Any Issues related to the property.

📅 Setting Up Your Account

🔹 Sign Up & Login

  1. Visit MintCondition (your platform's login URL).
  2. If you're a new user, register using the invitation link sent by a Property Manager or Service Provider.
  3. Log in to your dashboard.

🔹 Dashboard Overview

Depending on your role, the dashboard will show:

  • Upcoming Reservations (Property Managers, Owners)
  • Pending Tasks (Service Providers, Crew Members)
  • Property Details & Activity (Property Owners)
  • Invoices & Financial Overview (Property Managers, Service Providers)

🔹 Managing Notifications

Users receive email notifications for:

  • Task assignments & updates
  • New property invitations
  • Pending invoices & payments
  • System alerts (sync issues, overdue tasks, etc.)

You can enable or disable notifications in Account Settings.
