Managing Properties
The Properties page is the central hub where Property Managers and Owners can add, update, and manage vacation rental properties. This section will guide you through creating properties, editing property details, managing roles, and setting up reservation synchronization.
🏠 Adding a New Property
To add a new property:
- Navigate to the Properties tab in the sidebar.
- Click the "Add Property" button.
- Fill in the property details:
- Property Name: A short name to identify the property.
- Address: The full physical address (supports Google Maps autocomplete).
- Check-in & Check-out Times: Default times for guest check-in and check-out.
- Property Type: Choose between apartment, house, villa, etc.
- Max Occupancy: Define how many guests can stay in the property.
- Fill out any other field you wish to populate.
- Click Save to create the property. You will be automatically added as a property manager for the new property.
🏡 Editing Property Details
After a property has been created, Property Managers can update various other settings, such as task types and images.
🔹 Updating Property Information
- Select a property from the Properties List.
- Click "Edit" to modify:
- Property name, address, or description.
- Check-in/check-out times.
- Property amenities and custom fields.
🔹 Managing Property Roles
Property Managers can control who has access to the property. Service providers can add only crew members:
- Open the Roles & Users section.
- Assign users to roles:
- Property Managers (full control).
- Property Owners (view-only).
- Service Providers (task management).
- Crew Members (task execution).
- Click Save Changes.
🔄 Managing Reservation Channels
MintCondition supports automatic calendar syncing with major vacation rental platforms to prevent double bookings.
🔹 Connecting Airbnb, VRBO, and Booking.com
- Go to the Channels tab inside the property details.
- Select "Add Sync Channel".
- Choose a channel:
- Airbnb (iCal)
- VRBO (iCal)
- Booking.com (iCal)
- HostHub (iCal)
- Paste the iCal URL from the external platform.
- Click Save Save Channel.
- If you wish to sync the channel now, click on the Save Channel button. Otherwise, all channels will be synchronized automatically every 15 minutes.
- If you wish to see the status of a synchronization and any eventual error, clieck on the Channels page on the left menu.
🛠 Notes:
- MintCondition will fetch reservations automatically every 15 minutes.
- If a booking is found, it will update the availability calendar and trigger automated tasks scheduling (cleaning, maintenance, etc.).
- Users can manually refresh sync if needed.
📋 Managing Task types for a Property
Each property has associated task types. By default, all properties have 4 task types: Housekeeping, Hut Tub Maintenance, Landscaping and Extermination.
🔹 Creating Task Types
Tasks can be created manually or automatically after a guest checks out.
- Go to the Task Types tab inside the property details.
- Click "Add New Task Type" and enter:
- Name (Housekeeping, Repairs, Extermination, etc.).
- Standard Price (This is the default price that will be set for tasks of this type, but can be changed in the individual tasks).
- Default Tax
- Requires Pictures if checked, closing this task will require pictures.
- Create After Checkout if checked, new reservations will trigger the creation of this task after the check-out time
- Create Before Check-in if checked, new reservations will trigger the creation of this task before the check-in time
- Average Duration the default duration that is assigned to this task
- Default Assignees (the Service Provider or Crew Member to assign this task to by default).
- Default Payor (the Property Manager or Service Provider that will pay for this task to by default).
- Checklist The checklist items that need to be checked by the crew before closing this task.
🔹 Managing Property Flags
Property Flags can be added from the property details page or from the tasks themselves. They are use to indicate that something in the property requires attention. For example, a flag tcan be added to indicate that more supplies need to be purchased, or that something is broken and needs repair. When a property flag is added, it will also be visible in any of the tasks that are created for that property.
🔹 Tracking Task Progress
- Service Providers & Crew update task statuses in real-time, and close them when completed.
- Photo Uploads: Task assignees can upload images for verification.
- Task Notes: Users can add comments for additional details.
🔑 Property Permissions
Different users have different access levels within a property:
Role | Permissions |
---|---|
Property Manager | Full control over property settings, tasks, reservations, and invoices. |
Property Owner | View-only access to reservations, tasks, and invoices. |
Service Provider | Can view and manage assigned tasks; can reassign to crew members. |
Crew Member | Can view and complete assigned tasks, upload images, and add notes. |
